Create Document
The first stage of the life-cycle begins with the creation of a policy document. The system allows users to either import an existing document from the file system or create one using the built-in word processor. The document is version controlled, encrypted and then compressed for storage.

Review Document

In the second stage, the created document is distributed to a group of reviewers. The reviewers edit the document in the built-in word processor and submit the changes back to the owner of the document. Each reviewer’s change is highlighted in the document and is only absorbed in the document once it has been accepted by the owner.

Approve Document
In the third stage, the document is send to a group of approvers. Approvers can either reject or accept the document. On rejection the document is send back to the owner for further changes. On the other hand, if the document is accepted by all approvers it is automatically version controlled by the system and a release version is issued. The document version is also locked at this stage and no further changes can be made in the document.

Publish Document
In the fourth stage, a released document can be disseminated to the selected audience of the policy document. Users will receive an email notification with a URL link to access the new document and the task is listed on their home page till completion. Action events such as email notification, viewing the document, etc. are time stamped and audited for management reports.

User Training

Fifth stage gives the management the choice of training the users on a specific document before they are tested on it. The CM can create a training test for the users using the questions library. When published, the users are notified through emails and the task is listed on their home page. This e-learning feature allows users to increase their knowledge on a specific policy document. It allows the users to attempt training frequently in their own time and get immediate results.

Test

Sixth stage enables the management to test the users on the recently published document. Managers can create tests by dragging questions from the questions library or by simply importing an old test and making amendments to it.
The test can be published to the target audience. The CM can configure the test to be either time bound or partial save. Based on the configuration users can either attempt the test in one sitting or in multiple sittings before the due date.

User Test Evaluation
In stage seven, the tests are automatically evaluated by the system against the correct answers provided by the test creators. User is presented with a test report immediately after completing the test or training and the results are also emailed to the user.

Compliance Report
Eighth and the final stage concludes the policy document life-cycle by providing the CM an opportunity to customize the executive compliance management report. Customization of this report allows the CM to include the executive summary, analysis, future action plan and remarks with the statistics generated by the system. This feature allows the CM to provide a comprehensive report to the top management is a highly professional format.
